The following instructions refer to setting up an email account using Incredimail.

We have used test@ballyhoodemo.co.uk as an example in each step but you should substitute the email address or any other details we have supplied you with where appropriate.

Getting Started

Open Incredimail on your computer. Under the Tools menu select Email Accounts.

Mail Accounts

The Mail Accounts window will open. Select Add on the right-hand side of the window.

Account Wizard

The Account Wizard window will now open. Select Let me configure settings myself and click Next.

On the next screen select Other as your email account.

Under Connect To Your Account add your name, the email address you want to connect to and the password for your email account. Click Next.

Incredimail will cleverly look at the details you have already added and preset the incoming mail server type you require. If it does not, you need to set this as POP3.

Next add the Incoming mail server, this will be pop.yourdomainname. The Outgoing mail server will be mail.yourdomainname. Click Next.

Incredimail will then try to connect to your email account and fail. This is because there a few more setting we need to add. Click Skip.

Mail Account Properties

When this window opens click on the Servers tab. Check all the information in this window is correct and ensure My server requires authentication is ticked.

Now select the Advanced tab. Under Server Port Numbers change the outgoing mail number to 587 and the incoming mail number to 110. Click OK.

Step Six

In this window you need to enter your basic account details; your name, email address, password and a description of the account, for example Work or Personal. Click Save.

The address you have entered will be the username requested in the following steps and the password will be the same in all instances.

Step Seven

The next page you see requires you to enter further details about your email account. A number of fields will be pre-populated with information you supplied in the previous step.

You must first ensure POP is selected instead of IMAP.

Then enter the incoming mail server details. The host name will always begin with pop followed by your domain, for example pop.ballyhoodemo.co.uk.

Scroll further down this page to enter the Outgoing Mail Server details. In this instance the host name will always begin with mail, for example mail.ballyhoodemo.co.uk.

Click Save.

Step Eight

Your iPhone will now try to connect to your mail server securely for incoming mail. If you do not have an SSL certificate installed on your website you will see the following message:

Although secure connection has failed be assured that your emails will still be secure as they are sent and received – the connection has simply not been validated by a certificate authority but is equally secure under what is known as a self-certification certificate.

To continue setting up your email account click Continue.

Your iPhone will then try to your mail server securely for outgoing mail. Again, if you do not have an SSL certificate installed on your domain the above message will appear. To ignore it click Continue.

You should now be able to successfully send and receive emails from the email account you have just set up.

Follow these instructions to add a PDF to a web page using the Joomla! content management system.

Preparing The PDF

Before you can add a PDF there are a number of steps you must first follow:

Rename the PDF you want to add with no upper-case characters or spaces, for example file-name.pdf instead of File Name.pdf, and for ease save the file on your desktop.

In Joomla go to the Media Manager, a shortcut is on the administration area home page or you can select this from the drop-down menu under Site.

In the Media Manager select stories from the list of files.

You can now upload the PDF to this folder by selecting browse under Upload File at the bottom of the page. Select the PDF from your desktop, click open and then click start upload back on the Joomla page.

It is worth noting down the file name of the PDF for later, for example file-name.pdf.

Adding The PDF

To add the PDF to your web page, follow these instructions:

From the main navigation select Content and then Article Manager from the drop down menu.

Select the page you want to add the PDF to, whether this be an existing or new article.

In the text body of the article type the link text of the PDF, for example Click Here. Now highlight this text with your cursor.

In the text editing toolbar above the text body click on Insert/Edit Link (the small link symbol on the middle line). A new window will appear on your screen.

In the Link URL field type /images/stories/ then the name of the PDF you noted down earlier. This is the location of the PDF, for example /images/stories/file-name.pdf.

In the Target field select Open link in a new window from the drop down list.

In the Title field you can type anything to name the file, for example File Name.

You do not need to select anything in the Class field.

Finally click Insert, this will close the Insert/Edit Link window.

Click Save on the Joomla screen then check that the PDF link is working on the web page.

If you experience difficulty during any stage of the process please contact us for assistance and we’ll be happy to help.

You can also save or print a PDF version of these instructions for your records:

If you have received a bounced email report or a reply to an email that you didn’t send then you may be the victim of what is known as ’spoofing’. Just as you can write a ‘return to’ address on a letter, you can specify a ‘reply to’ email address on an email – this doesn’t have to be your own email address. Anyone can do this and it is a technique commonly used by those who send spam communications to veil the true source of unsolicited emails.

If you are a victim of a spoofing attack rest assured that it is unlikely the security of your account has been compromised. Your email address has likely been selected at random to dupe unsuspecting people into opening a spam email.

However, if you are still concerned about the security of your email account, please contact us and we will investigate.

Some of our customers often experience trouble uploading files such as PDFs to their content managed websites. We have found that the most common cause is incorrectly named files, something which is very easy to rectify.

As a general rule the internet doesn’t appreciate spaces or a mix of upper and lower case characters in filenames. While these may work perfectly well on your computer, it is wise to rename your files before you upload them to your website.

Change all the characters in the file name to lowercase, for example computer file.pdf instead of Computer File.pdf

If there are any spaces in the file name you can replace these with underscores or hyphens, for example computer_file.pdf or computer-file.pdf

Making these changes should ensure that you have no problems uploading files to your website. However, if you still experience difficulty there could be an underlying issue so please get in touch for assistance.

In the Order Manager section of the Ballyhoo Commerce admin area you will see comments beside each order. These can be as simple as ‘Payment Accepted’ to more complex comments which we will cover in detail in this article.

To see a full comment in the order manager, hover your cursor over the text.

PayPal

The following is list of order comments you might see if the transactions on your e-commerce website are processed by PayPal.

Receiver of the funds does not match the vendor email address.

You may see this comment if you change your primary email address with PayPal. Orders will no longer be automatically authorised in your Ballyhoo admin area because when a payment notification is sent from PayPal we verify it against the vendor email address you have provided. It is therefore important to notify us of any changes you make to your PayPal account.

Payment status returned from gateway is not completed.

PayPal has informed us that they were unable to complete the transaction with your customer. You will have to check your PayPal account or contact PayPal for more information.

Fraudulent information provided from payment gateway.

When an instant payment notification is received by our system we verify the information directly with PayPal. This comment status indicates that PayPal did not verify the payment notification we received. We have therefore assumed there has been a fraudulent attempt to authorise an order. Please check your PayPal account for any records of this transaction and contact us immediately.

Transaction ID returned from payment gateway has already been used.

Each transaction with PayPal is given a unique transaction ID. This comment status also indicates a fraudulent attempt to authorise an order because we have been provided with a transaction ID we have already seen. Again, check your PayPal account for any records of this transaction and contact us.

Total amount or currency returned from payment gateway does not match actual values.

This status essentially means the funds taken at PayPal do not match the total for this order, possibly due to the PayPal transaction being in a different currency. Again this indicates a fraudulent attempt to authorise an order. Check your PayPal account for any records of this transaction and contact us.

SagePay Form

Order comments from SagePay are usually very concise and require no further explanation. The following is a list of comments you can expect to see.

NOTAUTHED

The Sage Pay system could not authorise the transaction because the details provided by the Customer were incorrect, or insufficient funds were available.

MALFORMED

Input message was missing fields or badly formatted – normally will only occur during development and vendor integration.

INVALID

Transaction was not registered because although the POST format was valid, some information supplied was invalid. e.g. incorrect vendor name or currency.

ABORT

The Transaction could not be completed because the user clicked the CANCEL button on the payment pages, or went inactive for 15 minutes or longer.

REJECTED

The Sage Pay System rejected the transaction because of the fraud screening rules you have set on your account.

AUTHENTICATED

The 3D-Secure checks were performed successfully and the card details secured at Sage Pay.

REGISTERED

3D-Secure checks failed or were not performed, but the card details are still secured at Sage Pay.

ERROR

A problem occurred at Sage Pay which prevented transaction completion.

SagePay Server

If your e-commerce website runs the SagePay Server Integration to take payments, you can expect to see the following comments in your order manager. Again, these are usually self-explanatory.

Tamper detected.

When a payment goes through SagePay a summary of the transaction is returned. If this doesn’t match the information you have stored in your system the ‘Tamper Detected’ comment will appear. Check your SagePay account for more information and contact us.

DECLINED

The transaction was not authorised by the bank.”

ABORTED

The customer clicked Cancel on the payment pages, or the transaction was timed out due to customer inactivity.

REJECTED

The transaction was failed by your 3D-Secure or AVS/CV2 rule-bases.

ERROR

There was an error during the payment process.

UNKNOWN

An unknown status was returned from Sage Pay.

2013

The transaction was cancelled by the customer

2000

The authorisation was declined by the bank

If your Order Manager has displayed a comment that is not listed here or you want further clarification on any of the comments, get in touch and we’ll be happy to help.

The Ballyhoo Commerce system makes it easy to configure shipping rules to allow customers from all over the world to purchase your goods. It also helps manage your VAT (if you are VAT registered) when selling internationally.

Customers Within the UK

If a customer places an order on your site to be dispatched within the UK, VAT will automatically be added to the order at the current rate.

Customers Within the EC (European Community)

Customers wishing to have thier goods dispatched to another EC Member State fall under the intra-Community supply rules. In such a case, the customer will be asked to provide an EC VAT registration number. If they are VAT registered in their respective country they may provide their registration number in order for VAT to be removed from their order.

However, it is your responsibility as the vendor to make reasonable attempts to ensure the registration number is correct. We recommend using the VAT Information Exchange System (VIES) provided by the Taxation and Customs Union to check that the number is valid before dispatching any goods within the EC.

Customers Outside of the EC (European Community)

Any order to be dispatched outside of the EC will not have VAT applied.
